Who we are and what we do:
The Tennessee Department of General Services is responsible for providing goods and services to the State government of Tennessee. Its primary customers are other State departments and agencies. It also serves vendors wishing to do business with the State, and citizens and organizations interested in purchasing surplus State and federal property. The Department's services include centralized procurement for State departments; management of the State's real estate assets; motor vehicle and equipment management; printing, media, and photographic services; postal services; warehousing and distribution; State employee parking, badging, and shuttle services; and assistance to small businesses and businesses owned by minorities, women, and veterans. How you make a difference in this role:
The Category Administrative Specialist will provide administrative support to the Central Procurement Office's (CPO) Category Teams. These teams are responsible for the procurement and management of all Statewide Contracts available for use by entities such as Tennessee State Agencies and local governmental agencies. This role will offer opportunities to learn and become proficient in the role of the Category Specialist, and can serve as a precursor for other procurement positions in the CPO and State.
Key Responsibilities:
Under the direction of the Category Management DGS Procurement Program Director:
Provides assistance to procurement professionals by performing administrative sourcing and contract management procedures in Edison; conducts bid and proposal openings; maintains all databases and logs managed by the division; creates presentations, reports and documents.
Creates spreadsheets, manages databases, and conducts data analysis.
Maintains electronic filing systems and reporting templates.
Performs liaison duties by gathering, distributing, and communicating information to internal and external stakeholders.
Provides basic customer and logistical support to internal and external stakeholders, including monitoring the shared Category e-mail inbox, fulfilling public information requests, processing purchasing transactions for the division, and other necessary office management duties.
Performs a wide variety of administrative and complex clerical support for the division; provides administrative tasks and support to other teams within the procurement division, when necessary, including but not limited to office reception, greeting visitors, answering telephone, and ensuring the proper handling of inquiries and contacts including those from management, other agency representatives, and vendors.
Minimum Qualifications:
A bachelor's degree from an accredited college or university
OR
4 years of experience providing administrative assistant support in the private or public sector.
Any combination of the above is acceptableadministrative assistant support experience can substitute for the degree on a year for year basis.
