Overview: This position will assist the Sales&Marketing Department in achieving financial objectives through use and knowledge of software applications, maintenance and management of all sales-related client and corporate information records including those on the Internet – potential and existing, and sales&marketing analysis. The Complex Sales&Marketing Coordinator arranges, coordinates and communicates all aspects of group business after the sales process has been completed. This position works closely with wholesale (including OTA) clients in detailing the needs of both individual travelers’ reservations; meetings and events including but not limited to room set up, billing, rooming lists/reservations, resumes and VIP arrangements. Responsibilities: Compile information to assist DOSM and Sales Managers in producing Month End Reports for Group Sales
Run Sales Reports.
Database Management duties applied to all sales related systems.
Manage Delphi to PMS Interface
Optimize room rental charges
Ensure all billing requirements are met
Assist in referring hotel contacts to the sales team to re-book successful functions by executing excellent customer service
Comfortable to perform hotel site inspections and client presentations
Monitor group room blocks and pick up, generate detailed resumes for the operating departments
Must possess the ability to cultivate strong customer relationships, understand hotel catering and rooms operations with strong administrative skills and the ability to multitask and work under a fast-paced environment
Assist sales and revenue team in creating strong, effective, personable and professional communications with prospective and returning hotel clients
Prepare correspondence such as customer appreciation letters, group proposals and contracts and help facilitate promotions
Maintain a warm and friendly demeanor at all times.
Assist with Data Entry of Leads and/or RFP Bids
Complete Month End Reports for Group Sales, Catering and Meeting Services.
Run Sales, Catering & Meeting Services Reports as needed.
Create and Manage Merge documents and entry of menu items
Assist with social media posts, images, reporting as needed.
Database Management duties applied to all sales related systems
Monthly/daily audits of Sales & Marketing related systems to ensure Highgate Hotel Standard policies and procedures are compiled to, as needed.
E-Lead Coordinator retrieving, managing and distributing all incoming sales leads- internal or external for Leads, Linking to NetDelphi Global and NetXChange as applicable
Manage Delphi/Fidelio PMS Interface
Relay software suggestions and enhancements to Highgate Hotel Corporate Representative on all sales related systems
Assist or coordinate loading of updated programs onto the network when received from Server trouble shooting with Highgate Hotel IT & respective vendors
Verify Night Audit is managing daily backup of all sales related systems.
Liaison between Sales & Marketing department, Corporate office and software vendors
Administrative support- Typing, filing, answer phones and distribution of mail
Management & registration of all Sales & Marketing employees for vendor classes
Enforce Corporate and Office standards and procedures as it relates to all sales-related Client and Corporate Information Systems
Become proficient in all sales & marketing – related client and corporate information systems.
Assist with the daily room inventory management process and daily pricing process.
Assist with monitoring competitor rates, positioning, strategies and data; maintain understanding of the dynamics of the local market and demand generators and present appropriate action plans to management.
Assist with monitor and communicate fluctuations in occupancy to operational departments so they can effectively manage staffing requirements and increase efficiency.
Assist analyzing local events and activities and project the effect of opportunities they create.
Assist unconstrained demand analysis to determine optimal business mix.
Other duties, as required, related to Sales&Marketing related systems or hotel operations.

Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
Must be able to multitask and prioritize departmental functions to meet deadlines.

At least one year of progressive experience in a hotel or a related field required.
High School diploma or equivalent required
College course work in related field helpful
Demonstrated proficiency with MS Office Products specifically Excel.
Experience with Opera PMS and Delphi sales system helpful
Knowledge of Request for Proposal (RFP) process and/or Corporate Volume Accounts helpful
Knowledge of social media platforms (e.g. Facebook, Instagram, Twitter) helpful.
Long hours sometimes required.
