Building Services CoordinatorWe are looking for a Buildings Services Coordinator for our 20+ unit condominiums association.SummaryOversee the office operational, maintenance and repair of the physical location. Manage the day to day activities of the building leveraging resources to keep costs low and operational levels efficient. Maintain well-kept and functioning systems within the building keeping all residents, board members and Community Manager up to date.This role will require 6 hours a day with focus on door staff duties.Schedule: Monday-Friday, 8am-4pmRate: $25.00 an hourBenefits: We offer employer paid medical, dental and vision coverage (employee portion), paid time off, paid holidays and a 401(k) plan.COVID-19 Protocols: Employees are required to be fully vaccinated or undergo weekly COVID testing. Employees are expected to wear a mask at all times.Essential Job FunctionsCustomer Service· Be available to residents for input and inquiry as a part of the concierge team. Greet residents and visitors and assist with door, packages and deliveries as needed.· Maintain communication strategy for residents including e-mail, SMS texts, and posted bulletins to best respond to building updates, security issues and emergency situations.· Work to provide positive and professional service to residents when possible while maintaining an efficient presence on the property and in the entry.· Communicate with residents and vendors required rules, regulation and declarations to assure all policies are upheld.· Coordinate and track move-in and move-out procedures and fees. Ensuring that residents have provided all minimum requirements prior to moving in.· Manage distribution of packages and laundry services for the residents within accordance to building policy.· Provide orientation services to new owners and residents giving them an understanding of their new residence and neighborhood. Includes providing everyone with a copy of the regulations and declarations to be successful.· Help facilitate building access to work being done within the units and use of elevators.· Respond to all inquiries, complaints and requests appropriately for residents within a reasonable time-frame.· Facilitate communication between the residents, CWD Group and Board of Directors.Administration and Project Management· Maintain daily logs of all activities in accordance with building policy.· Keep a database for residents and units that will provide up to date information such as but not limited to unit, emergency contact information, parking, package specifications.· Develop relationship and maintain database on property service providers.· Track petty cash and expenses for the buildings.· Inventory and keep available all required supplies for the office and on-site maintenance needs.· Activate and deactivate access devices and/or provide keys as necessary for new residents, lost and stolen replacements.·· Maintain building concierge systems such as, computers and access systems.· Monitor building systems and assist maintenance with tasks if possible.· Track on-going projects keeping a regularly updated action item list of work being performed by coordinator and vendors in the building.· Collect proposals for work needing to be done in the building and support Community Manager in assessing best scenarios.· Maintain credit card transactions and receipt reports for building.Maintenance and Security· Perform security inspection of building, interior and exterior of the building. Report on findings when performed daily, weekly and monthly. Keep board liaison and maintenance provider aware of findings.· Monitor and screen people seeking access through the front door.· Review surveillance systems and building entry. Notify Board of Directors of any suspicious activity witnessed.· Provide emergency access to property or homes as requested by residents during normal business hours.· Regularly inspect common areas including lobby and elevators for organization. Keep the building common rooms such as laundry, sitting room, and board room neat and usable for all residents.· Perform basic cleaning on common areas including cleaning glass, emptying garbage, spot cleaning counters, lift fingerprints from elevators, mop spills as necessary.· Monitor building systems and assist maintenance with tasks such as lighting, temperature, access, and coordination of association work and/or building inspections.· Maintain all property signage including exits and emergency posting.Policy Implementation· Enforce Association policies and declarations requirements and inform residents as required about policies.· Investigate complaints and disturbances. Provide information regarding violations to Board of Directors for resolution.Education and Experience· High school diploma or GED equivalent required· Proven excellence in customer service and administration· previous facility management and custodial experience· Proficient in Microsoft programs including Excel and OutlookSkills and Knowledge· Highly organized and able to use a variety of methods· Communicates effectively both verbally and in writing· Basic design skills to create communication strategies· Proficient in Microsoft programs including Excel and Outlook· Able to learn new software with changes to building and security systemsPhysical and Environmental· Must be able to lift up to 50lbs and be able to move a dumpster if requested· Tasks may require racking leaves or shoveling snow outdoors· Able to work around cleaning products· Fine manipulation of phone and keyboardsJob Type: Full-timePay: From $25.00 per hourBenefits:401(k) Dental insurance Health insurance Paid time off Vision insurance
