SUMMARY DESCRIPTION This position greets clients, contractors and visitors and assures everyone who phones, or visits is provided professional and prompt service.ESSENTIAL DUTIES AND RESPONSIBILITIES Answers firm’s main phone line quickly and efficiently using a multi-line phone system Greets clients, contractors, and visitors as soon as they arrive in a professional and friendly manner Prepares lobby and conference rooms for meetings and guests Coordinates lunch orders for firm events Compile and distributes daily schedules; tracks location of all Pinnacle and Oracle employees and management Maintains beverage inventory for guests Handles FedEx and courier deliveries and shipments; reconciles billing for FedEx and courier services Sorts incoming mail and date stamps all received correspondence Opens, sorts, and scans brokerage statements Coordinates distribution paperwork and projects, including software projects and sending of distribution reports to various parties, as needed Schedules meetings, conference rooms, equipment as needed Orders office supplies and restocking kitchen and supply room, as needed Handles sensitive and confidential documents and information Maintains minutes of meetings, including, but not limited to staff meetings, as needed Copy/file/phone/mail and miscellaneous administrative support Assists with billing duties and perform billing related tasks, as needed Updates database with contact changes, as needed Make educational conference registrations and accommodation reservations, as needed Back up support for the Administrative team, as needed Alerts management to any issues Handles additional various projects and tasks, as assignedKNOWLEDGE, SKILLS AND ABILITIES Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated professionalism, poise, tact and diplomacy. Ability to communicate effectively with all levels of the organization Ability to multi-task with strong prioritization and organizational skills Ability to handle confidential information, and sensitive/time critical situations Demonstrated ability to attend to detail to ensure qualityEDUCATION AND EXPERIENCE REQUIREMENT A High School Diploma or GED required Minimum of 2 years experience managing a multi-line phone system is preferredPHYSICAL REQUIREMENT AND WORK ENVIRONMENT No physical exertion required Required to sit for long periods of time Standard office working conditions, must be willing to work in professional office settingSCHEDULE Standard Work Hours 8:00 AM – 5:00 PM, Monday - FridayJob Type: Full-timePay: $17.00 - $18.00 per hourBenefits:401(k) 401(k) matching Dental insurance Employee assistance program Flexible spending account Health insurance Health savings account Life insurance Paid time off Parental leave Professional development assistance Referral program Retirement plan Vision insurance
